Privacy Policy

The New Hampshire Off Highway Vehicle Association (“NHOHVA,” “we” or “us”) operates this membership site so riders can join an affiliated club, donate, and retrieve proof of membership. This policy explains what personal information the site collects, why we collect it, who we share it with, and the choices you have.
It applies to this membership site and the services offered through it. Purchases are also governed by our Terms of Service, which include our cancelation and refund policy.
Information we collect
Account information
You sign in with either a one-time email link or a Google account. If you sign in with email, we receive your email address. If you sign in with Google, we receive the basic profile information your Google account makes available to the sign-in — your name, email address and profile picture. We never receive or have access to your Google password.
Membership and donation information
When you join a club or donate, you provide:
- the member’s name, and a second member’s name on a family membership;
- a mailing address;
- a phone number and email address;
- the club you are joining and the membership type you selected.
Address entry uses Mapbox’s address lookup. What you type into that field is sent to Mapbox to return matching addresses, and we store the address you select along with its map coordinates so clubs can see where their membership is concentrated.
Payment information
Payments are processed by Stripe. Your card number and security code are entered directly into Stripe’s payment form and are never transmitted to or stored on our servers. We store the Stripe customer and payment references, the amount, and the name and email associated with the purchase so we can produce receipts and reconcile club payouts.
Technical information
Our sign-in provider (Google Firebase Authentication) stores a session token in your browser so you stay signed in, and your browser stores the email address you used to request a sign-in link so the link can be completed. We do not use advertising cookies and we do not track you across other websites.
How we use your information
- to create and secure your account and keep you signed in;
- to process membership purchases and donations and send receipts and vouchers;
- to prove your membership for the New Hampshire OHRV registration discount;
- to give your club the membership roster it needs to administer its members;
- to respond to you when you contact us;
- to meet our legal, tax and accounting obligations.
How we share your information
NHOHVA does not sell your information to any third party.
We share it only as follows:
- Your club. Administrators of the club you join can see your membership record — name, contact details, address and membership type — for their club only. They cannot see members of any other club.
- NHOHVA. NHOHVA administrators can see membership and donation records across affiliated clubs in order to run the association.
- New Hampshire Fish & Game Department. Membership is shared as needed to verify eligibility for the OHRV registration discount.
- Service providers. Stripe (payment processing), Google Firebase (sign-in, database and hosting) and Mapbox (address lookup) process data on our behalf under their own terms and privacy policies.
- Legal requirements. We may disclose information where required by law or to protect the rights and safety of NHOHVA, our clubs or our members.
Google user data
Our use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. We use Google sign-in data solely to authenticate you and to associate your membership records with your account. We do not use it for advertising, we do not sell it, and we do not transfer it to others except as described above or as required by law.
Data retention
We keep membership and donation records for as long as needed to administer memberships, honor the registration discount for the applicable season, and satisfy the recordkeeping, tax and accounting obligations that apply to us. Account information is kept while your account is active.
Your choices and rights
You can review and update the information on your account by signing in. You may ask us to access, correct or delete your personal information by emailing info@nhohva.org. We may need to keep records of completed purchases and donations where the law requires it. If you signed in with Google, you can also revoke this site’s access from your Google account permissions page.
Security
Data is stored on Google Firebase infrastructure and transmitted over encrypted connections. Access to membership records is restricted to NHOHVA administrators and to the administrators of the club a member belongs to. No system can be guaranteed perfectly secure, but we work to protect your information and to limit access to those who need it.
Children
This site is intended for adults purchasing memberships. We do not knowingly collect personal information from children under 13. If you believe a child has provided us information, contact us and we will delete it.
Changes to this policy
We may update this policy from time to time. When we do, we will revise the effective date at the top of this page.
